2. Information We Collect

Depending on how you use the Services, Pin2Win may collect:

  • Account information: name, username, email, telephone number, password hash, verification status, and account timestamps.
  • Simulator information: simulator display name, venue, bay, booking match, event code access, attempt window, and simulator session identifiers.
  • Challenge information: entry identifiers, challenge selection, shots, scores, results, rank, eligibility status, review notes, timestamps, and submitted verification evidence.
  • Payment information: amount, currency, payment status, Square order or transaction identifiers, refund status, and related metadata. Payment providers process payment-card details under their own policies.
  • Technical information: IP address, device and browser information, user agent, cookies or session identifiers, QR-scan information, security events, and service logs.
  • Communications: support requests, refund claims, emails, feedback, and information submitted through forms.
  • Winner information: identification, proof of residency, tax forms, taxpayer information, eligibility affidavits, payment instructions, and prize records.

Pin2Win does not intend to collect information from anyone under 18 through the paid challenge program.

3. How We Use Information

Pin2Win may use personal information to:

  • Create, authenticate, secure, and support accounts.
  • Process payments and refunds.
  • Provide challenge entries and protected simulator access.
  • Match participants with simulator records and verify results.
  • Maintain leaderboards and administer prizes.
  • Detect code sharing, duplicate entries, fraud, abuse, and security incidents.
  • Communicate about accounts, transactions, challenges, results, claims, and service changes.
  • Support participating venues and reconcile legitimate entry or booking issues.
  • Analyze and improve the Services and customer journey.
  • Maintain financial, tax, compliance, and legal records.
  • Enforce agreements and protect participants, venues, Pin2Win, and others.

4. How We Disclose Information

Pin2Win may disclose information as reasonably necessary to:

  • Payment providers, including Square, to process and verify payments or refunds.
  • Participating venues to confirm physical presence, bookings, bay assignments, incidents, attempts, and customer-support issues.
  • Simulator and technology providers to provide event access and verify results.
  • Hosting, database, security, analytics, email, and support providers that process information for Pin2Win under appropriate restrictions.
  • Professional advisers, including attorneys, accountants, auditors, insurers, and fraud investigators.
  • Government or legal recipients when required by law, legal process, tax reporting, or protection of legal rights.
  • Transaction counterparties in a merger, financing, reorganization, sale, or transfer of the business, subject to appropriate protections.

Pin2Win does not sell personal information for money. If Pin2Win later sells personal data or processes it for targeted advertising as those terms are defined by applicable privacy law, Pin2Win will update this Policy and provide required notice and opt-out rights before beginning that activity.

5. Leaderboards and Winner Information

Public leaderboards should use the participant’s selected display name or another disclosed identifier rather than unnecessary personal details. Pin2Win may publish a verified winner’s name, city, result, and prize amount to administer and report the Challenge. Broader advertising use of a participant’s image, voice, testimonial, or likeness will be based on separate permission when required.

6. Cookies, Sessions, and Local Storage

Pin2Win may use cookies, secure session tokens, browser local storage, and similar technologies to maintain login state, protect accounts, preserve entry information, prevent fraud, understand QR and booking activity, and operate the Services.

Player sessions automatically expire after approximately one hour of inactivity. Browser settings may allow you to delete or block certain storage, but doing so may prevent account, checkout, or entry features from functioning correctly.

7. Data Retention

Pin2Win retains information for as long as reasonably necessary for the purposes described in this Policy, including providing accounts and entries, verifying results, resolving disputes, preventing fraud, maintaining financial and tax records, satisfying legal obligations, and enforcing agreements.

Retention periods may vary by record type. Pin2Win should adopt an internal retention schedule before publication, particularly for identification documents, tax forms, simulator evidence, security logs, and unsuccessful refund claims.

8. Security

Pin2Win uses reasonable administrative, technical, and organizational safeguards designed to protect personal information. No internet transmission or storage system is completely secure, and Pin2Win cannot guarantee absolute security.

Customers should use a unique password, protect account credentials, sign out of shared devices, and promptly report suspected unauthorized access.

9. Texas Privacy Rights

Subject to applicability, exceptions, identity verification, and Texas law, a Texas consumer may have rights to:

  • Confirm whether Pin2Win processes their personal data and access that data.
  • Correct inaccuracies.
  • Delete personal data provided by or obtained about the consumer.
  • Obtain a portable copy of personal data.
  • Opt out of targeted advertising, sale of personal data, or certain profiling.
  • Appeal a decision concerning a privacy request.
  • Exercise rights without unlawful discrimination.

To submit a privacy request or appeal, email pin2wingolf@outlook.com with the subject “Texas Privacy Request” and describe the request. Pin2Win may take reasonable steps to verify identity and authority before responding.

Pin2Win will respond within the period required by applicable law. If Pin2Win denies a request, the response will include available appeal instructions where required.

10. Children

The paid challenge program is not directed to anyone under 18, and Pin2Win does not knowingly permit a person under 18 to purchase or use a challenge entry. If Pin2Win learns that an ineligible minor submitted personal information, it may delete the information and terminate the account, subject to legal retention requirements.

11. External Links and Third Parties

The Services may link to venue booking pages, Square, simulator services, social networks, or other third parties. Their privacy policies govern their independent collection and use of information.

12. Changes to This Policy

Pin2Win may update this Privacy Policy prospectively. The current version will display its effective date. Material changes will be communicated reasonably and, when required, consent will be obtained before applying a new use to previously collected information.
